Responsibilities

• Lead the review of mechanical bid packages, drawings, specifications, addenda, and tender requirements to determine project scope, inclusions, exclusions, risks, opportunities, and required resources.
• Prepare accurate and complete mechanical estimates, including material take-offs, labour productivity, equipment, rentals, indirect labour, subcontracted scopes, general requirements, overhead, and profit.
• Estimate mechanical scopes across plumbing, HVAC, hydronics, piping, equipment, sheet metal, controls, insulation, fire stopping, and applicable subcontracted work.
• Prepare and issue detailed bid packages to suppliers, vendors, subcontractors, and trade partners to obtain complete, competitive, and compliant pricing.
• Review supplier and subcontractor quotations for completeness, exclusions, qualifications, scope gaps, schedule impacts, and alignment with tender documents.
• Attend site visits, pre-bid meetings, project showings, and tender walkthroughs within the Calgary market and surrounding area as required.
• Prepare tender proposal requirements, including bid forms, tender breakdowns, alternates, bonding and insurance requirements, schedules, organization charts, resumes, company experience, craft rates, and mark-ups for additional work.
• Assemble estimates and pricing for review with the Estimating Manager and leadership team, including labour assumptions, indirect labour, construction equipment, overhead and profit, risk items, opportunity items, and value engineering options.
• Identify drawing conflicts, specification concerns, constructability issues, scope gaps, cost-saving opportunities, and value engineering options during the tender process.
• Support bid close-out by confirming scope coverage, pricing status, addenda acknowledgements, tender forms, proposal requirements, exclusions, qualifications, and final submission requirements.
• Participate in project kick-off and handoff meetings by clearly communicating estimate assumptions, inclusions, exclusions, risks, opportunities, and key tender decisions to operations teams.
• Maintain current knowledge of Calgary market conditions affecting mechanical construction costs, including labour availability, material pricing, equipment lead times, subcontractor capacity, tendering trends, local code considerations, and regional client expectations.

Knowledge and Education Requirements

• College diploma or technical education in mechanical engineering technology, construction, estimating, or a related discipline is preferred; equivalent mechanical construction experience will also be considered.
• Previous mechanical estimating experience in commercial, institutional, multi-family, industrial, or similar construction projects is required.
• Strong understanding of mechanical systems, including plumbing, heating, ventilation, air conditioning, hydronics, piping, equipment, controls, sheet metal coordination, and related building systems.
• Proven ability to complete detailed material take-offs and prepare complete mechanical estimates from drawings, specifications, addenda, and tender documents.
• Ability to review supplier and subcontractor pricing, identify exclusions or gaps, and ensure quotations are aligned with project scope and tender requirements.
• Strong understanding of labour productivity, construction sequencing, project risk assessment, tender strategy, and mechanical construction methods.
• Proficiency with Microsoft Office is required, particularly Excel, Word, and Outlook.
• Experience with estimating software, digital take-off tools, and construction management platforms is considered an asset.
• Construction Estimator Certified designation, Gold Seal Estimator Certification, C.E.T. designation, or enrolment in a related certification program is considered an asset.
• Knowledge of the Calgary construction market, regional trade partners, local tendering practices, and client expectations is considered an asset.
• Strong communication, organization, time management, follow-up, and problem-solving skills.
• Ability to work collaboratively with estimating, operations, project management, field supervision, suppliers, subcontractors, and clients.

Location

This position is based out of District Mechanical’s Calgary location and will primarily support projects in Calgary and the surrounding area.

Skills required

• Solid background in scheduling and organizing team schedules using Microsoft Outlook
• Organization skills - ability to keep track of and store project invitations and files
• Able to work alone and in a team environment
• Microsoft Excel - must understand how to do complex equations in Excel; knowledge of macros is a bonus
• Ability to create and manipulate documents using a PDF editor, such as Foxit
• Good written and oral communication skills
• Trade knowledge of any type is an asset but not a requirement
• Must have personal transportation and be physically able to traverse construction sites
• Communicate with suppliers, subcontractors, and clients while building rapport and working relationships
• Perform detailed quantity takeoffs of duct systems
• Perform estimate closeouts
• Perform estimating turnover meetings with the project management team
• Develop bidding strategies with the estimating team
• Fill out Rev 0 budgets for projects
• Perform takeoffs for change order pricing

What You'll Do

• Source and procure mechanical materials, equipment, and services for construction projects.
• Obtain and evaluate supplier quotations to ensure best value, availability, and delivery schedules.
• Issue purchase orders and track order status through to delivery.
• Coordinate material deliveries with project teams and site personnel.
• Develop and maintain strong relationships with suppliers and manufacturers.
• Monitor inventory levels and support warehouse and prefabrication operations.
• Identify cost-saving opportunities and alternative procurement strategies.
• Resolve purchase order discrepancies, delivery issues, and supplier concerns.
• Maintain accurate purchasing records and procurement documentation.
• Support project managers with budgeting, forecasting, and material planning.

What We're Looking For

• 3+ years of purchasing or procurement experience, preferably in construction, mechanical contracting, plumbing, HVAC, or industrial environments.
• Strong understanding of construction materials and procurement processes.
• Excellent organizational and time-management skills.
• Ability to manage multiple projects and priorities simultaneously.
• Strong negotiation and communication skills.
• Proficiency with Microsoft Office, particularly Excel.
• Experience with ERP, project management, or purchasing software is considered an asset.
• Knowledge of mechanical construction materials and equipment is highly desirable.
